For the CFO and asset manager: 4 considerations before the CAPEX decision

On a lease of less than 6 years, a built-in bookcase destroys value: its depreciation is designed for 15 to 20 years of use, well beyond the occupancy period. This is the Kytom view, stricter than the prevailing discourse in the fit-out profession. On projects that pass this filter, a 12 lm bookcase can absorb up to 35 linear metres of documentation, for a budget generally between 800 and 2,200 EUR excl. VAT/lm and a lead time of 10 to 14 weeks. Custom-designed since 2006 and deployed by 11 agencies in France and Spain, these bookcases support 50 kg/lm and contribute to the acoustic correction of open-plan floors by reducing reverberation time, within the target range of 0.5 to 0.8 seconds recommended for office spaces.

The built-in office bookcase addresses four measurable considerations, examined here from the financial decision-maker’s perspective. Asset valuation: custom joinery fit-out contributes to the rental value of the floor, a documentable argument in CAPEX decision files, to be weighed against the Ile-de-France rental cost observed on the market. Storage: the unit absorbs up to 35 lm of documentation over 12 lm of cabinetry, payload 50 kg/lm, shelves 30 to 38 mm, panels compliant with current standards. Partial acoustic correction: with perforated backs and suitable padding, the bookcase contributes to reducing reverberation time in addition to the floor’s other acoustic solutions, for a target of 0.5 to 0.8 seconds in open-plan space. Employer brand: the working environment is regularly cited as an attractiveness criterion in sector HR surveys, an argument that can be leveraged in HR-QWL files.

The regulations applicable to workplaces require 200 to 500 lux depending on the tasks, a parameter built into the design of backlit units from the outset. On the materials side, Environmental and Health Declaration Sheets document a carbon footprint gap of 12 to 28 kg CO2eq/m² between a French PEFC-certified wood panel and an imported MDF, a structuring data point for the BREEAM assessments required by funds.

Contrary to widespread practice in fit-out, Kytom advises against full-height built-in bookcases below 6 lm of real need or on floors leased for less than 5 years. Standard furniture at 250 to 400 EUR/lm remains more appropriate. Likewise, for purely decorative use without document load below 10 kg/lm, the custom investment becomes oversized, and a low credenza-type unit is sufficient. The profession’s conventional wisdom underestimates these relevance thresholds, in favour of a logic of systematic prescription.

The 5-step Kytom method scheduled over 12 weeks, compliant with the requirements applicable to non-domestic storage furniture

The method unfolds in five structured steps, aligned with the mechanical strength standards for storage furniture and with certification:

  1. Audit (1 week): documentary inventory, measurement of existing linear metres, observation of flows over 3 to 5 days.
  2. Design (2 to 3 weeks): 3D modelling, execution drawings at 1/20 scale, choice of 4 to 6 materials, mechanical validation according to the applicable standard for storage furniture.
  3. Workshop fabrication (6 to 8 weeks) at qualified partner sites, quality control at 3 milestones.
  4. Installation (3 to 5 days for 12 lm) by integrated teams from the Kytom agencies.
  5. Snagging (15 days) and activation of the ten-year warranty.

Kytom builds in six environmental and health criteria by default: VOCs below 0.5 mg/m³ after 28 days, PEFC or FSC certified wood, dismountable hardware, LED lighting 3000 K at 80 lumens/W, on-site repairable finishes, documented disassembly for reuse. The delivery compliance rate reaches a high level across our recent portfolio, with 2 to 3 iterations of drawings before client validation. Four points determine success: a slab supporting at least 250 kg/m², otherwise a structural engineer’s opinion; accessibility heights between 0.90 m and 1.30 m per the decree of 8 December 2014; M1 or B-s2,d0 fire classification documented in public-access buildings; wood supply anticipated 4 to 8 weeks ahead.

Limitations of the method. On projects with less than 6 weeks of overall lead time, the standard process does not hold: you must either switch to an accelerated process with an additional cost of 12 to 18%, or forgo custom work. On floors whose slab does not exceed 200 kg/m² and that cannot be reinforced, full-height built-in bookcases should be avoided in favour of low units of 1.20 m or less.

For the asset manager subject to energy consumption reduction obligations for the tertiary stock: TCO and documented durability

Four benefits stand out from delivered projects, examined here through the lens of the energy consumption reduction obligations applicable to the tertiary stock. The space gain observed on our delivered projects, compared with standard cabinets, frees up several dozen square metres on a typical floor, avoided rent directly valuable in the investment committee. This avoided rent is the main argument to bring to the investment committee, more robust than qualitative perception.

Employee perception improves markedly after delivery, an indicator used in employer brand files. The service life of integrated joinery work under intensive use far exceeds that of standard furniture, often estimated at between 5 and 8 years, which appreciably improves the total annual cost over the lease term. Our view differs from the profession’s discourse on this specific point: real durability does not depend on the initial quote, but on documented disassembly and on the availability of hardware parts 10 years after delivery. It is this parameter, rarely contractualised in standard fit-out, that determines long-term depreciation and valuation.

When the ROI does not hold. On non-renewable leases of less than 6 years, depreciation over 15 to 20 years is broken and the total annual cost may become higher than that of standard furniture. Likewise, on flex-office sites with high documentary turnover and digitisation above 90%, the real linear-metre need falls below 6 lm and the built-in bookcase loses its functional value: a shared locker at 200 to 500 EUR/workstation is better sized.
